1. Controller and processor
Each estate agency using EstateLeadAI is the data controller for the personal data of people who call or contact it. EstateLeadAI Ltd acts as the agency's data processor and only processes that data on the agency's documented instructions.
2. Data processing agreement
We sign a written data processing agreement with every client, meeting the requirements of Article 28 UK GDPR.
3. AI disclosure and call recording
At the start of every call, EstateLeadAI introduces itself as an AI assistant for the agency. Callers are told when a call is recorded.
4. What we process
Caller name and contact details, the property they are interested in, budget, timeline, viewing preferences, call recordings, transcripts and summaries, and the content of written enquiries.
5. Retention
Call recordings and transcripts are kept for the period agreed with each agency in the data processing agreement, and are deleted or returned when the service ends, unless the law requires us to keep them.
6. Security
We use encryption in transit, access controls limited to staff who need it, and reputable hosting providers. We will notify the agency without undue delay if we become aware of a personal data breach.
7. Sub-processors
We use sub-processors for telephony, AI speech and language processing, email and hosting. A current list is available on request. Where data leaves the UK, appropriate safeguards are in place.
